What is session capacity?
Session capacity is the maximum number of people one session within an event can hold, such as a workshop with forty seats, tracked separately from the capacity of the event as a whole.
Session capacity vs event capacity
An event might sell 500 places while its workshops hold 40 each. If only event capacity is tracked, ninety people can sign up for a workshop with forty chairs. Breakout session capacity has to be managed on its own, per session.
Why oversold sessions happen
Most oversold sessions come from capacity checked afterwards rather than at the moment of registration: two people register for the last place in the same second and both get it. Enforcing the limit at the point of registration prevents it.
How to set session capacity
- Start from the real constraint: chairs, a trainer’s attention, or seats in a breakout room.
- For free online sessions, expect some no-shows and decide whether to allow a few extra registrations.
- Show the places left on the registration page, which also encourages people to commit.
Capacity in practice
Event capacity planning starts with the agenda. Virtual Event Management Suite tracks per-session capacity separately from the event total and enforces capacity at the point of registration, so a session does not end up oversold.
