Event registration window: when to open and close sign-ups

What is a registration window?

A registration window is the period between the moment sign-ups open and the moment they close. Outside it, the registration page stops taking sign-ups, whatever capacity is left.

Why set a registration window

A registration open date lets you announce an event before taking sign-ups, or open registration to one group first. A registration deadline gives you a final headcount for catering, rooms or speaker preparation, and stops people registering for a live session that has already ended.

When to close event registration

  • In-person events: when catering, badges or room layout need a final number, often a few days before.
  • Online events: often at the start time, or a little after, so late joiners can still get in.
  • Workshops that need preparation: early enough to send materials.

Late registration

For online events, allowing registration up to the start, or a few minutes in, catches people who decide at the last moment, and they are often the most likely to attend. For paid in-person events, a higher late registration price encourages people to commit earlier.

Windows and capacity together

Virtual Event Management Suite closes registration by itself once the event is full or its registration window ends, and the public page shows how many places are left until then.
