Recruitment funnel: stages, metrics and conversion rates

What is a recruitment funnel?

A recruitment funnel is the sequence of stages candidates pass through on the way to a hire, from application to screening, interviews and offer, with fewer people at each stage than the one before.

A hiring funnel example

For one role: 200 applications, 40 pass screening, 15 reach a first interview, 6 a final interview, 2 receive offers and 1 accepts. That is a 0.5% application-to-hire rate, or 200 applicants per hire.

Recruitment funnel metrics

  • Stage conversion rate: the share of candidates who move from one stage to the next.
  • Dwell time: how long candidates wait in each stage.
  • Withdrawal rate: candidates who drop out, as distinct from those you turn down.
  • Applicants per hire: how many applications one hire takes.

Recruitment funnel vs pipeline

The funnel is the aggregate view: how many people pass each stage across all candidates. The pipeline is the live view: which named candidates are at which stage today. Recruitment funnel conversion rates tell you how many applicants you need; the pipeline tells you who to call this afternoon.

Finding the leak

A funnel is only useful if it points at a stage to fix. Recruitment Workflow Optimizer ranks stage-level conversion and dwell time into a diagnosis of where the funnel leaks, and uses the conversion rates to work back from a hiring target to the number of applicants the pipeline needs.
