Meeting passcode: when to use one and how to share it

What is a meeting passcode?

A meeting passcode is a short code someone must enter, as well as having the meeting link, before they can join a video meeting. It stops people who come across a link from walking straight in.

Meeting passcode security

A passcode protects against links that travel further than intended: forwarded invitations, links pasted into shared documents, guessable meeting addresses. It is a modest barrier rather than a lock, because anyone with the invitation usually has the code too, so pair it with a waiting room for meetings that matter. Passcode vs password is mostly a naming choice; both mean a shared secret for the meeting.

How to share a meeting passcode

  • For internal meetings, sending the meeting link and passcode together in the calendar invitation is fine.
  • For sensitive meetings, send the passcode separately, for example by message.
  • Never post a link and its passcode together anywhere public.

Passcodes for a personal meeting room

A personal meeting room keeps the same link for months, so it ends up in old invitations and email signatures. A passcode, changed now and then, stops that permanent link from becoming an open door.

In Arkenso Meet

Arkenso Meet offers instant, scheduled and personal rooms, and you can add a passcode whenever a meeting should not be open to anyone with the link.
